Routine appointments

We operate a total triage system to ensure every patient receives the most appropriate care as quickly as possible. When you contact us, we will ask for details about your issue. This information allows us to direct your query to the right person. You will receive a response regarding your request within 24 hours.

How to Request a Routine Appointment:

  • Online Triage: Use our online triage service by clicking the button above and selecting the “online consult” option. We will respond to your request within 24 hours. This service is available for submissions Monday to Friday during opening hours.
  • By Telephone: If you do not have internet access, please call us on 01253 204672 between 8am and 6:30pm, Monday to Friday.
  • In Person: Visit the surgery and speak with a receptionist during our opening hours, Monday to Friday.

Your Consultation May Be Offered Via:

  • Face-to-face at the surgery
  • Telephone call
  • Video call

Important Information:

  • Dental Problems: We do not treat dental problems. Please contact your dentist directly or call the emergency dentist service on 0300 1234 010.
  • Call Recording: For quality and training purposes, all incoming and outgoing calls are recorded.

Urgent appointments

If you require an urgent appointment for a same-day emergency, please use one of the following methods. To help ensure you secure an appointment, we encourage you to contact us as early as possible during our opening hours, as availability is limited.

How to Request an Urgent Appointment:

  • Online Triage: Submit your request via our online consult option (accessible by clicking the button above). This service is available for submissions Monday to Friday during opening hours. For urgent matters, we aim to respond and ensure a clinician contacts you on the same day.
  • By Telephone: If you do not have internet access, please call us on 01253 204672 between Monday and Friday during opening hours.
  • In Person: Visit Highfield Surgery during opening hours, Monday to Friday, and speak directly with a receptionist.

What Happens After Your Request:

When you get in touch, we will ask for details about your medical needs. This information allows our team to assess your situation and helps a clinician determine the most appropriate course of action. For urgent same-day emergencies, a clinician will contact you on the same day.

Important Information:

  • Limited Availability: Please note that we have a limited number of urgent same-day appointments. Once these are filled, we will guide you to the most appropriate alternative service for your problem (e.g., a Walk-in Centre).
  • Call Recording: Be aware that all incoming and outgoing calls are recorded for quality and training purposes.

Cancelling your appointment

Please help us help everyone by cancelling appointments you cannot keep.

Missed appointments waste valuable NHS resources and prolong waiting times for other patients. If you notify us in advance, we can offer your slot to someone else in need.

How to Cancel Your Appointment:

We offer several convenient ways to cancel:

  • By Telephone (24/7): Call 01253 204672 and select option 1. We recommend saving this number to your mobile contacts for easy access.
  • In Person: Speak to a receptionist at the surgery, Monday to Friday.
  • Via the app:  Apps like the NHS app, MyGP and others allow appointments to be cancelled.
  • Via SMS Reminder: Use the cancellation link provided in your appointment reminder text message.

Late Cancellations and “Did Not Attend” (DNA) Policy

If you cancel your appointment 1 hour or less before its scheduled start time, it will be recorded as a “Did Not Attend” (DNA). This is because we are unable to reallocate the appointment within such a short timeframe, leading to a wasted slot.

Impact of Missed Appointments:

At Highfield Surgery, an average of 150 appointments each month are recorded as DNAs. This means patients neither attended nor informed us at least 24 hours prior to cancel or change their appointment. This has significant consequences:

  • Increased Waiting Times: Delays for other patients, potentially worsening their health.
  • Wasted Resources: Not only clinicians’ time but also administrative effort in managing and rebooking.
  • Financial Cost to NHS: Contributes to the estimated £1.2 billion cost of missed appointments to the NHS annually, requiring additional clinicians and straining services.
  • Risk to Vulnerable Patients: Potential harm to children or other dependents relying on an adult to ensure they attend.

Highfield Surgery’s DNA Management Policy

To ensure fair access to appointments and efficient use of resources, Highfield Surgery implements a progressive policy for repeated non-attendance. While we understand there may be genuine reasons for missing an appointment, this policy helps us address avoidable DNAs.

Important Considerations:

  • Extenuating Circumstances: We recognise that there may be mitigating reasons for non-attendance. Please communicate these to us.
  • Review Process: Prior to any removal from the practice list, a senior GP will assess whether such action would be detrimental to the patient’s health or wellbeing.
  • Policy Validity: Letters related to this policy are valid for a 12-month period and are saved in your electronic health record.

Policy Steps within a 12-Month Period:

  1. First DNA: A text message or letter explaining the DNA will be sent.
  2. Second DNA: If a second appointment is missed within 12 months (without reasonable mitigating circumstances), a further letter will be sent.
  3. Third DNA: If a third appointment is missed within 12 months (without reasonable mitigating circumstances), another text message or letter will be sent.
  4. Fourth DNA: Should a fourth appointment be missed within the same 12-month period, the practice partners will review the case. A decision will be made regarding potential removal from the practice list or sending a letter of support to the patient.

We encourage open communication with the surgery if you anticipate difficulties attending appointments.

Evening and weekend appointments

We understand that fitting healthcare appointments into a busy schedule can be challenging. That’s why Highfield surgery, in collaboration with Arnold Medical Centre, Stonyhill Medical Centre and Abbey-Dale Medical Centre, offer pre-booked evening and weekend appointments with GPs, practice nurses, and other healthcare professionals.

These convenient appointments are ideal if you:

  • Struggle to attend appointments during standard working hours.
  • Are a parent with young children.
  • Rely on working carers for transport.

About Our Service

The service provides these additional appointments outside of normal GP practice hours. You can book routine primary care appointments with a variety of clinicians, including GPs, nurses, and healthcare assistants.

Please note: This is not a walk-in service; an appointment is always required. We use GPs from our primary care network where possible.

How to Book & Cancel:

To book an evening or weekend appointment, please contact our reception team during regular surgery hours.

To cancel an appointment outside of Monday-Friday surgery hours (8:00 AM – 6:30 PM), Please call 01253 953001.  This number will be available between 6.30pm and 8.30pm Monday – Friday and 9am-5pm on Saturdays.

Home visits

Home Visits: Understanding Our Policy

While we encourage patients to visit the surgery where we have comprehensive equipment and facilities, we understand that this is not always possible.

Requesting a Home Visit: If you require a home visit, please call the practice before 11:30 am.

Eligibility Criteria: Home visits are primarily for patients who are:

  • Housebound
  • Too unwell to attend the practice

GP Assessment:

  • Your GP will assess whether your medical condition necessitates a home visit.
  • They will also determine the urgency of the visit.
  • Please be prepared to provide detailed information to help the doctor assess your need and urgency.

Urgent Symptoms: It is crucial to inform us immediately if you are experiencing:

  • Chest pains
  • Breathing problems
  • Severe abdominal pain

Other Home Visiting Services:

  • Community Nurse: You may be visited at home by a community nurse if referred by your GP.
  • Health Visitor: A health visitor will typically visit you at home if you have recently had a baby or if you are newly registered with our GP practice and have a child under five years old.
